Meeting of the Committee 8th December 2010

Presidential Statement
The President welcomed all the new members to the committee.
An e-mail was received from Mrs. P. Olive regarding the last committee meeting raising concerns over what had been said relating to certain items. This has been a attached for your perusal.
At the 2009 AGM it was agreed to cancel court cases but court costs have been incurred for lawyers etc and there is a cancellation fee. Should these bills be covered under reconciliation or should they be the responsibility of the owners who owed the debt. Lynn Jimenez suggested that the President should talk to our lawyer regarding this matter and ail agreed. This only concerns residents who participated in reconciliation rather than none payers who have already been allocated these charges if applicable.
A request has been made by an owner for a pre-paid electric meter to be installed. From 1st January 2011 all owners requiring this service will have to pay for the necessary certificates.
Signing of Cheques
Shelagh Shaw will continue to be a signatory on cheques in the absence of either the President or the Treasurer.
Lawyer
It has been agreed that the President would talk to the lawyer regarding the use of her secretary's services when it comes to sending out letters to any of the Spanish residents.
Acting; Vice President
Pedro Fulgencio has agreed to be Acting Vice President till the next A.G.M. Only 1 person on the committee did not agree and her letter is attached stating her reasons why.

Payments
October extra payments of 15.75 Euros transfer fees
October - lifeguard and Access Controller plus drain cleaning
November - cancellation fees for court cases; lawyers fees for AGM and EGM and
proposed Bar Contract; installation of 3 lamp posts and 1 meter. Lamp post 296 was repaired.
Administrator
An outside administrator was sort after but after consideration of the various fees involved and that they wanted to use our database it was decided unanimously by the committee to keep the accounting in-house.
OTHER BUSINESS
Disabled Toilet for the Bar
3 quotes have been received for a disabled toilet in the bar. 5,000.00 Euros has been the cheapest quote to alter the already existing ladies toilet. The remainder two quotes are very high being from 14,980 to 16,760 Euros plus IVA. An agreement could not be reached at this committee meeting and therefore another meeting is being arranged for next week to discuss this matter and to reach an agreement so that work can commence.
Pool Maintenance
J Brown is continuing to maintain the pool while a new contract is with our lawyer for consideration. This contract will also include other duties for the company along with the cleaning and general maintenance of the pool it will involve a lifeguard and the possibility for the clearing of garden rubbish.
Ibderdrola
Under new regulations for energy and environment paperwork has been completed regarding the transformer and returned to them. It has been revealed that the plaque on the transformer is not correct and we will have to wait and see what the outcome will be.
This report may result in our transformer being contrary to the new regulations and its removal therefore we are in communication with a company through Pedro who are in the business of transformers and he will arrange for a quotation as soon as possible.
20,000 Euros is available in the contingency account but further funds maybe needed.
Pump House
A quote has been received for a new pump of 56,000 Euros. Ray Hall has worked tirelessly going down to it twice daily. It is in need of a new sensor and Pedro is going to arrange for what is needed to be done.
Gardener
It has been agreed unanimously for the gardener to receive a Christmas Bonus of 250.00 euros.
Lockups
There has been a request for an electricity supply installed in a lockup. After a brief discussion the committee decided unanimously that this was not viable.
Rental of Community Land
There has been a request by Plot 70 to rent the community land in front of their property. The committee unanimously agreed that this should not happen and that a letter should be sent to them from our lawyer to remove the water feature.
Meter Cupboards
Repair of meter cupboards is in progress and locks are still to be done. Casitas in need of repair are being quoted by Vlodomir of plot 592.
Fumigation of drains for Cockroaches
An e-mail received from P. Ainger asking if the drains are being fumigated on a yearly basis due to a lot of cockroaches this year. The drains were done October 8th and will continue to be fumigated on a yearly basis.
The Office
Monthly meter readings will commence at the end of January after the final quarter of 2010 has been charged.
The computer in the outer office is need of repair, which will be arranged in the New Year.
Phil Simpkin will man the office on Wednesdays from 10am to 12 noon. The opening times for the remainder of the week will remain the same.

Disabled Toilet for the Bar
It was agreed that due to problems in the drainage system in the bar area it would be better to have them looked at first and it was agreed to have the drains in the bar area only inspected so that the problems can be remedied before work is done on the disabled toilet. It was also agreed that the disabled toilet should be inside the bar area to minimize costs.
OTHER BUSINESS
A reply to Mike Bartlett's letter (copy attached) has been made and a letter sent to owner of Plot 70 regarding the water feature.
Sheila Lee sold her property to Pedro Fulgencio in November this year but forgot to stop her Direct Debit on her monthly payment. It has been suggested that it would be easier to transfer the payments to her son's account.
P. Olive wishes to view certificates for credits for work undertaken in 2009. All residents are entitled to certificates but most residents do not wish to publish online. The treasurer is checking for the legality of publishing on the internet. The committee feel that all owners have the right to see the certificates in the office but not to publish on the internet. The committee by majority agree that the certificates can be viewed only.
Minutes of AGM and EGM
The minutes of both meetings are now back from the lawyer and it has been agreed to digitally insert the signatures of the committee members.
Transformer
The transformer was discussed and it was decided that Peter would look back into the records in order to look at the cost of a new one should it be required in order to comply with Iberdrola's requirements.
The Gates
We are able to go ahead and have the main entrance gated. We need to look into the best possible way of doing this to accommodate holiday makers, emergency services, deliveries etc.
In order for people who live outside of the Park to use the bar, it has been suggested that a pedestrian gate be installed opposite the bar.
Repair of Casitas
A cost of repairs to casitas in circles X and R plus repairs to Clara's tenants' electricity box will cost 317,28 euros. It has been suggested that the cost of the electricity box be separated and passed onto Clara as her tenants did the damage.
Denuncia of Clara
On 16 December 2010 a denuncia was made against Clara regarding her tenants on behalf of the community. It will be approximately 3 months before the matter will be heard in Court. If anyone would like to be involved regarding the court case, they can leave a copy of their passport or NIE in the office. At present we have 20 copies of passports and these were received in a matter of hours. These will be included for the court hearing.
