1st Unofficial Committee Meeting
Sunday 1st October 2007
Present: N. Stacey, P. Olive, A. Impey, L. Jimenez, S. Shaw, L. Foley, J. Titterton, P. Whitehead and J. Hanrahan.
Neill opened the meeting by thanking his new committee for volunteering, and also said how grateful he was to the 75% of all the Mi Sol Owners who voted for him, at yesterdays Annual General meeting.
Office Hours in future will now be:-

Bill will continue to collect Mi-Sol mail, if Bill is unable to do this, then Danny will oblige.
It was agreed that there will be 2 meetings per month, 1 informal meeting to discuss all the points that need to be addressed with the Administrator and the second to be held with the Administrator, hopefully creating an efficient, more cost effective and detailed outcome.
Peter Whitehead is to liaise with Steve on his duties.
Steve Foley:- his original contract as Mi-Sol gardener is now finished. Neill will speak to the Administrator to arrange another contract, meanwhile Steve will continue his duties until his can be arranged, he will be working as a volunteer owner. He has been paid 724Euros per month by Pepe, but was promised 815Euros, the committee agreed that his future salary will be the 815Euros as promised and the shortfall is to be reimbursed. Eventually skips will be hired and Steve will clear the site as much as he can. It was agreed that better gardening equipment will be purchased as soon as funds allow. It has been noticed that some owners are taking more pride in their own circles and making them look very nice. If everyone could do as much as they feel able to their own circle it would help ease Steve’s mammoth task of keeping Mi-Sol Park clean and tidy.
Any tasks that owners feel fall under the jurisdiction of the Gardener’s duties, should first put the task in writing and submit it to the office or give it to Peter Whitehead. This way any urgent jobs can be prioritized by Peter, and delegated to the gardener.
Security.
Depending again on finances, it was suggested that lighting on the perimeter wall would be an advantage. Obviously the gates at the top and bottom of the park take priority.
If any owners encounter squatters or any other breaches of security in empty properties, please report the matter to Shelagh Shaw or Lynn Jimenez.
Finance.
All future cheques concerning community money will be written (except for emergencies) at the informal meeting in front of the committee and must be counter signed, information referring to these cheques, (i.e. cost and what they are for) will be posted on the notice board. Pat Olive is to deal directly with the Administrator to correlate information. All relevant information will be pinned to the notice board.
Pepe was approached by the graffiti artists who painted under the bridge, as to whether we would like our wall painted also. The committee agreed that as the Town Hall was paying for all the work and materials this would be to our advantage.
Now we are hopefully soon to be a united community , we would appeal to anyone with a bank receipt issued by a Bank to come forward so as to get the accounts as up to date as soon as possible.
Lynn Jimenez has agreed to oversee the work being done by our lawyer and to bring up to date information to the committee meetings.
Finally, Neill wishes all meetings (informal and the one with the Administrator) to be held at Mi-Sol Bar. All owners are welcome to attend and observe. Anyone with a specific question is asked to put it in writing and give it to a Committee member, this will be dealt with at the end of the meeting.
The exact dates and times of meetings has not yet been finalized, but will be published as soon as we have the facts.
It was agreed by the committee to give 6 weeks notice for any EGM . This will enable anyone not wishing to travel to Mi-Sol to receive and return proxy votes.
