2009-11-05-Committee Meeting

Committee Meeting —-5th November 2009
Present: Mo Taunton, P. Hopkins, S. Shaw, S. Evans, K. Ellerton, L. Jiménez, J. Brown

During the change-over of the contract name, Ibedrola did not take the September factura from our account. We subsequently received a final demand from them, and the bill was paid, as well as the October bill. We have also paid the final factura for Apyme, as agreed at the A.G.M.
The previous minutes were approved.
Unfortunately the bar’s draft contract was not available from Rosario at the monthly meeting. The previous contract was read out point by point.
The committee voted on the amendment of:
1. rent from the €600 proposed, to E550 per month
2. to reduce the deposit required from the previous 6 months to 3 months
The committee voted to add:
l. Swimming Pool is strictly private + only use of terrace, if maintained
2. Monthly utility bills paid monthly within the first 5 working days
3. Comply with the requirements and necessary licenses
A letter will be written to the current tenant inviting him to a meeting with the committee to discuss the contract.
After receiving the final bill, at an extremely uncomfortable and unpleasant meeting, Apyme has been paid and their services terminated. We will now make arrangements for the paperwork held by them to be returned, as they have flatly refused to aid us.
An owner on circle S has produced a plan of works for the sewer system. There are frequent problems and our "rodder" is unable to solve the problem.  After speaking to a consultant, he reported that the problem was in the height and levels of the drainage from individual properties lower than the circle’s system. It was agreed to request more estimates to resolve this situation.
We have had requests for monthly meter readings from a few reunified residents. The problem at a previous committee meeting was that we needed a volunteer to read the meters; Paco has agreed to read them monthly. It was decided against issuing monthly bills, but the owners can make monthly payments.
The committee discussed the possibility of having a security guard on duty at the swimming pool during the summer season. We will look into the prices and debate it again.
A letter has been presented from the previous President following the last committee meeting. He informed us the history of the pozo pump and the possible solution, as well as the reason in the holes in the boundary wall to Florida. It was agreed not to block the holes in and to remind the consultant on the pozo.
Many complaints have been lodged regarding the genera] nuisances of plot 233.
As residents know that they can play music most ofthe day without breaking the law; depending on the time and the loudness. All residents in Spain have the right to call the police. We have officially asked them to respect all residents on Mi-Sol, a letter will be sent to the owner.
There have also been complaints from residents with regards to the caravan in the circle J. There are many caravans and campers parked on community land, but they are not lived in. They were given permission for the caravan to be there on a temporarily basis, whilst they were building, but the time limit agreed has come to an end. lt was agreed by the committee that the‘ caravan should be moved from the circle and placed on the gardeners’ entrance for the time being until they have terminated the construction. The owners of the plot will be informed of the decision.
An estimate has been provided for the repair of the 2 strimmers, and cost of new. It was decided to get a second estimate for repair first.
After a discussion on the lock-ups, it was agreed by the committee to reduce the cost of rent, which will include suma. As we will be reducing the cost; all current contracts will become null and void. All current tenants will need to sign a new contract in January, if wanting to continue with the lock-up. A standard letter will be sent out to all current tenants.
Our current database is a few years old, and has only been modified since. It is full of outdated information which is making it run slower. The secretary, after doing many modifications so far, does not have the time now to design a new functioning database. The committee voted in favor of having a new designed database fully functioning for the lst of January.
The new unified residents have been paying their comunidad to coincide with their financial year, which ran from July to June. The treasurer proposed that, to keep accounts functioning, to continue charging the unified residents their community fees in July, still incurring the 5% discount if paid by 3lSt July. This would help the administration and give valuable cash injections into the accounts in the middle of the year. The committee voted in favor of the proposal.
The Pool contractor contacted the community again in reference to the repair of the pool. He has dropped the deposit required from the amount outstanding, before he can repair the pool. After speaking to Rosario she said no to pay if the deal is not in writing, detailing the pending balance and the cost to the company.
The committee voted in favor, the contractor will be contacted.
After accepting the quote for the transformation of a shower block into a lock-up, the work was carried out. Unfortunately after his account was credited the work was inspected and was found to be unsatisfactory. It was decided to modify the credit given. The builder has written a letter to the committee stating that the materials purchased cost more than the final amount credited. The president has asked for the copies of the bills for the materials purchased; and the matter will be reevaluated.

• The Open Forum was only postponed in October for 2 reasons - a) it was only 2 weeks since the A.G.M and b) we hadn't had the draft bar contract. It was announced that the November Open Forum will be held on 10th 2009 on the Terrace at 14:30. This will be the last Open Forum following this format. As from December 2009, the committee meeting and open forum will be merged creating "Committee Forum". Residents are welcome to come and listen. Any questions will only be heard at the end of the meeting. This will be the new social event of the month held the first Thursday of the month.
