2010-10-09-Minutes taken by P. Olive

The committee meeting held on Saturday 9th October 2010
Unofficial report.*****************   Official minutes taken by the secretary/treasurer

Present:  Mrs. M. Taunton President, Mr. P. Hopkins Secretary/Treasurer.  Mrs. S. Shaw, Mrs. S. Evans, Mrs. P. Ainger, Mrs. P. Olive, Mr. P. Simkin, Mrs. J. Titteron, Mrs. L. Jiméniz, Mr. P. Fulgencio Ortuño

The secretary was translating to the one spanish committee member?? and also taking the minutes.

The president stated that although she had not been presented with a request to call an EGM she knew that this was in the pipeline. therefore no-one newly elected to the committee could be trusted not to steal the family silver!!!  (OK I paraphrased it. She didn't really say that.)

The president stated that the community members who wanted to call an EGM had 10 days left in which to do so and needed 25% of the community.  (Community totals 253, but I don't know how many are debtors as I have no access to that information).

I pointed out that as far as I knew the EGM was being called because some owners were not happy that the closed vote agreed to at the beginning of the AGM was not in force when 3 comunity members were voted on to the committee by a show of hands.  The closed vote agreed to, does not come into force until the minutes have been published, therefore they will affect next years meeting but not this years (meeting)  The president said she did not know anything about that.

The president seemed to think that I was in the wrong for stating at the AGM that I did not concur with the minutes or the accounts, and that I should apologize to the treasurer.  It was stated that I should have put my objections in writing and presented them to the treasurer before the AGM.  The fact that I have been trying to speak to the treasurer about the books for the past year seems to have been overlooked.  I do apologize to the treasurer if my actions distubed  him so much.  (I do so hate to be the cause of a disturbance!) I would have thought it was part of a treasurer's job to explain the details of the accounts should anyone wish to know them.

The president stated that she had been in touch with the Auditor (who was paid 500.00 euros to check over the figures) regarding the discrepancy of the bank statement figures and the AGM report figures.  The answer given by the Auditor was....that he (the auditor) had been given all paperwork relating to Mi-Sol Park and that everything was in order, he went on to say that as Mi-Sol park is not a business, it is not necessary for the two figures to tally......  The letter explaining this is written in Spanish without any translation.

I stated that I was willing to check the figures for nothing, also willing to do the breakdown on the 2009 report. I was told my help was not needed as the treasurer was quite capable of doing this himself and he did not want me checking on his every move......

Another committee member?? brought up the fact that the swimming pool is growing mould between the tiles of the pool.  Also the fact that the pump appears to be working 24/7.  The president stated that a member of the community is taking care of the pool (until the new contract takes effect in January 2011) and his account is being credited accordingly. She did not say by how much.  The president said she would speak to him about the pump.

A committee member brought to the attention of the President that Mi-Sol Park is in need of committee members who are willing to do things such as read the meters or open the office.  Again, I cannot remember if this got a reply or not. The same committee member apparently with little or no help from any other committee member read all the meters.

A committee member?? reported that Clara had been seen messing about?? inside her electricity box.  The president said she would look into it.

A committee member?? asked if Clara was being charged comunidad for the house which used to be Tao's garage and the house which used to be the garage of 610.  The answer was "not at present, but it will be looked into".

A committee member?? asked what the delay was in issuing the minutes, the answer was "they are still with the lawyer"

A committee member?? asked if the minutes could be issued in Spanish as well as in English.  The treasurer replied that normally he did translate the minutes but had been too busy to do the AGM ones.

A committee member?? asked if anything was being done about the houses being built in brick by the spanish, and had they put any plans forward to the committee as they were obliged to?  I cannot remember what the reply was.

A committee member?? asked if the bank statement could be published with either plot number or name.  The president agreed that it would be published with plot numbers.

A committee member voiced an objection to the meetings being held on a Saturday afternoon as it interfered with plans for the weekend.  Sorry, I can't remember the answer....(I really must pay more attention....could do better as my old teacher used to say)

The draft contract for the bar is still with the lawyers.
There isn't any news about the re-installation of the gates.

Two letters were read out by the President,  1 was from the Spanish owner on circle S, who complained that he had not been consulted about the siting of a satellite dish.  The correct procedure is to consult the president, put a letter into the office and ask everyone on the circle in question if they have any objections.

2nd letter from the bar owner asking if he could have copies of the Electric and water bills.  After a discussion when it was decided that it really wasn't top secret information it was agreed that the Bar owner could have photocopies of said bills.

Another complaint conveyed by telephone call to the President was my use of the words "This is for all the people in England who do not know what is going on" on my last blog.  I have no idea what is so offensive but heigh-ho someone obviously has an axe to grind

It was reported by our resident rodder that some sad b***d is removing the manhole cover up near the bar and throwing plastic bags, washing up liquid bottles (which are too big to go down a toilet) and any other rubbish they think will block the drains......anyone any idea's on how to stop this???

As the meeting was coming to a close a comunity member arrived at the office with news that the electrics to his circle had failed.    Later I heard from a different community member that the electrics inside the casita were a complete mess and that almost certainly someone had been tampering with them.

As I was walking down the site, a community member asked if the letter she had put into the office concerning the debris and noise emulating from the flats had been dealt with.
I said I was really sorry to have to say, that no such letter had been discussed at the meeting.
