The President continues to be on medical leave and still requires further treatment including the possibility of surgery.
1. The minutes for February were read out and authorized and will be published shortly.
2 February Finance -
Current Account Balance: 12.592,41 €
Savings Account Balance 20.000.00 €
Income: 17.232,51 € Expense: 14.080,97€
Extraordinary Expense: Embargo from Agencia Tributaria for the amount of 356,64 €, Paperwork pending.
The first monthly meter readings have been completed and will be undertaken on the 27th of all subsequent months.
After the committees agreement to credit the "overcharge" the calculations have been undertaken and the total cost will be 16,110.99 €.
The committee as previously ordered will undertake these credits as charged.
3. The minutes for the February meeting with Rosario were read out and approved.
4. Bank - After the kafuffle since December 2010 we have been informed that until we provide copies of the Actas Book again, the extra signatures can not be validated. The treasurer is dealing with this problem.
5. Modification to Community Fees- After the decision taken at the AGM it was decided to modify community fee tariff for those residents who have multiple rental on one active account. The only two residents that this will affect will be plot 40 and plot 610.
After communication with the lawyer it has been determined we should split the plots, charge the difference and keep one active account.
1] Plot 40-160 m2 with house: 478,48€ 60m2 with house: 418.95€ -Total 897.43€-Actual 503.95€ difference - 393,45€
2] Plot 610-75m2 with house: 431,71€ 150m2 with house: 474,22€ -Total 905,93€-Actual 769,62 € difference 136,31 €
A letter has been drawn up to inform the two residents of the decision taken; we need to wait one month after notification has been given before we can issue the bill. Committee unanimously agreed.
6. The Bar- The reply to Bob Moran's request was read out and authorized unanimously to be sent. Any major undertaken on a community, procedure dictates 3 quotes minimum. Due to the lack of enthusiasm for builders to undertake these quotes, the time frame has been dramatically reduced. The committee decided that after authorization for quotes has been issued and we have received the first quote; one month later if no further quotes have been received, authorization can be granted on the first. Therefore at the following monthly committee meeting if no further quotes have been received the work will commence on the first quote.
7. Pre Paid Electric Meters - We have received a quote for the supply of the 2011 pre-paid electric meters and requested the estimate for installation, we will also ask the current supplier to match or beat the quote received.
8. Swimming Pool - Jeff Brown undertook a quote for the showers in the pool area at a cost of 1.275,00 € in a form of credit to his account. Due to the unforeseen medical issue and the unlikely hood that Jeff will not be able to undertake the work, the committee will request quotes from outside sources.
The committee would like to thank Jeff for all the hard work he has undertaken during the last three years. We wish him a speedy recovery.
9. Contractsfor Lockups - The lockup rental contracts due for renewal in the first quarter are ready for signing in the office.
10. Judicial Proceedings • The committee was informed of the status of the Judicial procedures against Plot 605 for breaches of community statutes, and Plot 70 for an illegal construction on community land. It was determined that we need to continue with the court cases as no action has been taken to date by the owners concerned and photos will be taken for the archives.
11 Community Requests -
(i) A request was received from Plot 57 regarding a problem with a eucalyptus tree in the triangle causing damage to his property and has requested that branches be lobbed. Unanimously agreed.
(ii) Alerter received from Plot 372 regarding a water leak and problems with readings. During the third quarter reading the property had a water leak and had a high bill subsequently during the readings of the fourth; the meter was reported to be going backwards.
Note: the committee was reminded that meters belong to account holders and if needed to be replaced would be charged to the owner's account as well as an average reading for the missing quarter.
The committee agreed that procedure had been followed and that water leaks need to be paid as water was used regardless. Therefore account charge will stand for both as in the water leak and the installation.
(iii) The electric meter for Plot 601 was stolen during last year, therefore needed replacing and as previously stated the installation cost was charged to the owners account. After being issued the bill, the owner made a complaint. The committee decided that as the community is responsible for the
security and maintenance of the utility cupboards which in this instance was not secure and therefore needs to be refunded.
(iv) We have received a verbal complaint regarding the storage area in the circle by plot 513. we are waiting for the written complaint. The committee agreed that the circle should not be used as a store and a letter will be sent to the owner for the removal of said storage.
12. Other Business -
(i) Pump House - Due to the tardiness and the importance of work needed to be done the committee unanimously agreed as a matter of urgency for the necessary work to be done.
(ii) The palm tree outside the bar was unfortunately infested with the palm weevil and after fumigating it could not be saved and the crown needed to be removed for safety reasons. There maybe a possibility of it sprouting but in the likely event we may have to consider its removal or replacement. (Considering the roots are probably under the bar and tarmac the costing involved could be high).
(iii) Juan Munoz has voiced concerns regarding the drainage piping at the bottom of the park. Once the Town Hall has completed all necessary work we will have the whole area looked at and any further work needed will be undertaken. It was voiced that the site of the pipe generally doesn't matter as long as they are kept clear of debris.
(iv)lt was reported to office by an owner from Torreta-Florida that the tenants of 610 are throwing domestic rubbish into their garden.
(v) Due to the pending court case against Alfredo, the question was posed regarding the work undertaken for credits off accounts.
The lawyer is looking into the possibility of having a official
wafer, but further investigation was requested by the committee as the legality of said wafer has been questioned. (Waiver)
